How to Use the Time Calculator

The Formula
Time arithmetic follows the same structure as standard arithmetic but with carry-over rules based on 60 (for seconds and minutes) and 24 (for hours in a day).
Adding durations:
- Add all seconds. Every 60 seconds becomes 1 minute; note the remainder.
- Add all minutes plus any carried minutes. Every 60 minutes becomes 1 hour; note the remainder.
- Add all hours plus any carried hours.
Result = Total hours : Remainder minutes : Remainder seconds
For subtracting, borrow from the next unit when needed: borrowing 1 minute gives 60 seconds, and borrowing 1 hour gives 60 minutes.
Real-World Example
A project manager needs to add three task durations: 2 hours 45 minutes, 1 hour 30 minutes, and 0 hours 55 minutes.
- Seconds: 0 (none given)
- Minutes: 45 + 30 + 55 = 130 minutes. 130 / 60 = 2 hours with 10 minutes remaining.
- Hours: 2 + 1 + 0 + 2 (carried) = 5 hours.
- Total: 5 hours 10 minutes.
In decimal: 5 + (10/60) = 5.17 hours.
If the project rate is ยฃ80 per hour, the estimated cost is 5.17 x ยฃ80 = ยฃ413.33.

Time calculations appear across many professional and personal contexts. Payroll requires accurate totalling of weekly hours, often accounting for lunch breaks and overtime thresholds. Film and podcast editors add clip durations to plan runtime. Athletes and coaches add split times for total race durations. Event planners schedule speaker slots and transitions. Medical staff track patient observation periods. In all these cases, simple mental arithmetic is unreliable, and a dedicated time calculator prevents errors.
Frequently Asked Questions
Why can't I just use a normal calculator for time arithmetic? Standard calculators work in base 10, but time uses base 60 (for minutes and seconds) and base 24 (for hours). If you add 1.45 hours + 1.30 hours on a standard calculator, you get 2.75, which looks like 2 hours 75 minutes (meaningless). The correct answer is 3 hours 15 minutes. A time calculator handles the base-60 carry-over automatically.
How do I convert hours and minutes to decimal for payroll? Divide the minutes by 60 and add the result to the hours. For example, 3 hours and 40 minutes = 3 + (40/60) = 3.667 hours. Multiply by your hourly rate to get the pay amount. Round to two decimal places for invoicing.
Can the calculator handle durations longer than 24 hours? Yes. Unlike a clock, a duration calculator is not constrained to 24 hours. You can total up 30 hours of video footage or 150 hours of logged work without any rollover limitation.
What is the difference between a time calculator and a time zone converter? A time calculator performs arithmetic on durations and differences between clock times. Worked Example: A Weekly Timesheet
A payroll clerk totals five shifts. The method is to add the durations first and convert once at the end.
Monday 7 hours 45 minutes. Tuesday 8 hours 10 minutes. Wednesday 6 hours 30 minutes. Thursday 7 hours 55 minutes. Friday 8 hours 5 minutes.
Seconds: none given, so nothing to carry. Minutes: 45 + 10 + 30 + 55 + 5 = 145. That is 2 hours and 25 minutes, so 2 hours carry forward. Hours: 7 + 8 + 6 + 7 + 8 = 36, plus the 2 carried = 38. Total: 38 hours 25 minutes.
In decimal hours that is 38 + (25 / 60) = 38.4167. At ยฃ14.50 an hour the gross pay is 38.4167 x 14.50 = ยฃ557.04.
The trap is entering 7:45 as 7.45 on a decimal calculator. Adding the five shifts that way gives 37.45. It looks close to the right answer and it is 58 minutes short. The error sits in the fractional part, because 45 minutes is 0.75 of an hour, not 0.45.
Adding Durations That Include Seconds
Time entries with seconds carry at two levels, and the same rule applies at each.
Three podcast segments run 24:35, 18:50 and 31:40.
Seconds: 35 + 50 + 40 = 125. That is 2 minutes and 5 seconds, so 2 minutes carry. Minutes: 24 + 18 + 31 = 73, plus 2 carried = 75. That is 1 hour and 15 minutes, so 1 hour carries. Hours: 1 carried. Total: 1 hour 15 minutes 5 seconds.
The check is to work in one unit. 24:35 is 1,475 seconds, 18:50 is 1,130 seconds and 31:40 is 1,900 seconds. The three add to 4,505 seconds. Divide by 3,600 and the answer is 1.2514 hours, which is 1 hour 15 minutes 5 seconds. Both routes agree.
Which form to quote depends on the reader. Payroll systems want decimal hours, because the rate multiplies cleanly. Schedules, run sheets and editors want hours, minutes and seconds.

Read the table in either direction. A total of 2,305 minutes is 38 hours 25 minutes, which is the payroll figure above. If a time system reports 138,300 seconds and a timesheet says 38 hours 25 minutes, the two are describing the same duration.
Subtracting Across Midnight
Night shifts break plain subtraction, because the end clock reading is numerically smaller than the start.
A care worker clocks on at 22:30 and off at 06:15 the next morning. The shift is 7 hours 45 minutes.
The arithmetic borrows a full day and works on 30 hours 15 minutes minus 22 hours 30 minutes. Minutes first: 15 is smaller than 30, so borrow 60 to make 75 - 30 = 45. Hours: 29 - 22 = 7. The result is 7 hours 45 minutes.
A common error is to subtract 06:15 from 22:30 and report 16 hours 15 minutes. That is the time the worker spent away from the job, not the time on shift.
Timing Assumptions
- Durations are unbounded. The tool is not a clock, so a total of 38 hours 25 minutes does not wrap round to 14 hours 25 minutes.
- The tool sums a column of signed rows and returns one total. Each row carries its own plus or minus. It does not subtract one clock time from another and it does not carry across a day boundary, so the overnight shift above is entered as a single duration rather than read off the screen.
- A negative total prints with a minus sign, for example -07:45:00. The hours and minutes line beneath it shows the magnitude, so it reads 7.7500 hours rather than a negative figure.
- Seconds carry at 60, minutes carry at 60, hours carry only when a day count is useful.
- The result is exact for the values entered. Rounding happens only when the answer is shown in decimal hours, where the page displays four decimal places.
- The tool does not model time zones or daylight saving. Two clock readings from different zones are not comparable here, which is why the time zone converter is a separate tool.
- Unpaid breaks are not deducted automatically. Enter the break as its own duration and subtract it, or subtract it from the daily total before adding the days.
- Overtime thresholds are not applied. A week of 38 hours 25 minutes is reported as a duration, not as a pay band.
Unit Source
The second is the SI base unit of time. The minute, hour and day are non-SI units accepted for use with the SI, defined as 60 seconds, 3,600 seconds and 86,400 seconds (BIPM, The International System of Units, 9th edition, 2019). The carry rules in this calculator follow from those definitions.
Converting Decimal Hours Back to Clock Form
The reverse conversion catches as many errors as the forward one. Take the fraction of an hour and multiply it by 60.

An entry of 7.75 hours is 7 hours 45 minutes. It is not 7 hours 75 minutes, and a timesheet read that way is worth an argument at month end.
A payroll run that reports 38.42 hours is reporting 38 hours 25 minutes, because 0.42 x 60 = 25.2 minutes. The 0.2 of a minute is a fifth of a minute, or 12 seconds, and most payroll systems round it to the nearest minute. That rounding is small on one line and visible across a month: 0.4167 hours and 0.42 hours differ by 12 seconds each, and twenty working days of that difference is four minutes of pay.
